Parent-teacher conference sign-up
Booking conference times by email takes days of back-and-forth. With a sign-up sheet, parents see the free times and pick one themselves. Each slot holds one family, so double bookings are impossible.
No account needed for you or your guests.
How it works
- Start from the template. The slots are already filled in. Change names, dates and spots to fit your plans.
- Share one link. Send it by WhatsApp, email or text. People open it on any phone or computer.
- Watch it fill up. Everyone picks a slot and types their name. Full slots close automatically, and a waitlist catches anyone who missed out.
Setting up the time slots
The template creates 15-minute slots from 3 PM to 5 PM with one spot each. Change the date and times to fit your schedule, or use "Add several at once" for long days.
Leave a short break every hour or so. Conversations tend to run over, and a buffer keeps the rest of the afternoon on time.
Privacy for families
For conferences, it's usually best to switch off "Everyone can see who signed up". Parents then only see which times are free, and you see the full list.
Ask for the child's first name only. That's all you need to know who's coming.
Tips
- Put the room number and how to find it in the description.
- Add online slots with a note if you also offer video calls.
- Print the list for your desk on the day.
- Close sign-ups the evening before, so the schedule is final.
- Use the same setup for other one-on-one bookings: tutoring, coaching, interviews.

Create your sheetQuestions
Can two families book the same slot?
No. Each slot has one spot, and once it's taken it closes automatically.
Can parents see each other's names?
Only if you leave name visibility on. For conferences we recommend switching it off.
Can parents change their time?
Yes. They remove their sign-up and pick another free time.
