How it works

  1. Start from the template. The slots are already filled in. Change names, dates and spots to fit your plans.
  2. Share one link. Send it by WhatsApp, email or text. People open it on any phone or computer.
  3. Watch it fill up. Everyone picks a slot and types their name. Full slots close automatically, and a waitlist catches anyone who missed out.

How to plan volunteer shifts

Split the day into shifts of two to three hours. Longer shifts make people hesitate to sign up, and shorter ones create too many handovers.

Don't forget setup and cleanup. They're the shifts that are hardest to fill, so put them at the top of the sheet where people see them first.

Set a number of spots per shift based on the task, not on how many people you hope will come. It's easier to ask for one more helper later than to send people home.

Describing the tasks

Use the note field on each slot to say what the shift involves, for example "selling tickets at the entrance" or "lifting tables, wear sturdy shoes". Volunteers who know what to expect are more likely to show up.

Questions

Can volunteers sign up for more than one shift?

Yes. They can sign up for as many slots as they like, one at a time.

What happens when a shift is full?

The shift is marked as full and nobody else can sign up for it, so you never get double bookings.

Can I remove someone from a shift?

Yes. On your organizer page you can remove anyone, and their spot opens up again.
